Access Card Policy

Objective:

The security and safety of our staff and company assets are among our top priorities. We expect all employees working at Rosmerta group to adhere to the Company’s protocols and maintain discipline & decorum at all times.

To achieve the said objective, the staff must use their Access Cards to enter the workplace according to the defined process for their respective categories.

Scope: The policy covers all employees except off-roll staff.

Categorization of the Employees:

The employees are being categorized for access card as under:

All HODs, Consultants seated in the Cabin + HR Team+ the Admin Team + Reception Team + Housekeeping Supervisor

All Floors

All other staff members

Ground to 4th Floor (Except 5th Floor)

General Guidelines:

  • The HR department will issue the access card to all employees including YoYo/Lanyard and card holder.
  • It’s mandatory for employees to wear access card all times during the office hours or while on duty.
  • The card issued to any employee will be his or her sole responsibility to use it for his or her entry only. In any case, it cannot be used by any other employee for the purposes of entry in the Company’s premises.
  • In case of loss of access card, the employee shall inform the HR department immediately in writing, requesting for re-issuance of the card.
  • HR will charge INR 100/- (non-refundable) through payroll for re-issuance of the access card including YoYo/Lanyard and card holder, in case the access card is lost or stolen. The HR team should inform the IT department to de-activate the lost or stolen card immediately.
  • The access card is an asset of the company and employees shall return it back to the HR department at the time of the exit to complete the clearance formalities from the company.
  • Please note that the Company has separate access cards for visitors. The front office shall issue a separate visitor’s card for access permitting the visitor to that particular floor only after receiving a confirmation from the employee with whom the visitor has appointment.
  • Please note that only canteen and housekeeping staff shall be allowed entry & exit is from the rear door of the premises.

Exceptions & Policy Reviews:

This policy shall supersede all existing related policies & process and shall be effective from 1st February, 2024 and any change shall be notified by the Company management from time to time. The Rosmerta Management reserves the right to amend, abrogate, modify, and rescind/reinstate the entire policy or any part of it at any time.
