Onboarding & Induction Policy

Objective

Over the years, we have observed that absence of pinpointed information, lack of knowledge about new environment and systems of the Company, the cultural gap, behavioral variations, technology handicap etc., can lead to the new employee feeling insecure, nervous and less productive on their first day.

The basic objective of this induction policy is to provide relevant information about the Company, its internal processes and work-culture whereby the new employees can settle down in their respective roles and start being productive from the get-go.

General Guidelines for On-boarding:

Please note that the onboarding formalities shall be completed by the Human Resource (HR) representative of the Company on the day of joining, as mentioned below:

  • Joining Kit with required stationery containing a notebook and pen shall be given to the new employees on the day of their joining. Any additional or other stationary requirements shall have the approval of their head of department (HOD).
  • The Appointment letter along with their complete compensation details shall be handed over to the new employee especially the General Manager and above grade on the day of their joining in the Company.
  • Job description, the Key Responsibility Area (KRA) and the reporting structure shall be explained clearly to the new employee by HR SPOC (Human Resource Single Point of Contact).
  • The work-station allocation, email id creation of the new employee shall be completed in the first half of joining day by the HR SPOC.
  • The HR representative will coordinate with the concerned HOD, if there is any additional requirement of business cards and laptop for new joiner, based upon their job role. The requisition of such items shall be given to the administration and IT departments on the same day of the joining of the new employee before 11:00 AM.
  • Identity and access card requisition shall be given to the Administration department on the same day of the joining of the new employee before 1:00 PM.
  • Welcome mail shall be sent by the authorized person in the HR department for all new employees, especially the General Manager Grade & above.
  • Please note that the orientation with the HODs shall be scheduled for the new employees, specifically the General Manager & above grade joining at Head Office of the Company and joining of new employees in outstation locations will have an online interaction with all HODs.

General Guidelines for Induction Training:

  • Training department will conduct online and classroom induction training for all new employees, twice in a week i.e., Tuesday & Friday, in case there is no new employee joining in the said week, it shall stand shifted to the next week. The concerned trainer will share the schedule with respective HODs at least 2 (two) days prior to the induction training of the new employees.
  • The attendance in induction training is mandatory for all new employees. The trainer will mark the attendance who join off-line, however for the online participants, the trainer can take online attendance and screen shot as well for all participants in the end of the session.
  • Training department will inform the participants and their respective HODs for the participation in the induction training with a scheduled date.
  • Please note that during the induction, the new employees will need to keep their mobile phone on vibration mode.
  • Training lead will be required to ensure proper induction material is kept always updated.
  • Training lead will share the participants’ attendance and closure note to respective HODs.
  • Induction shall cover among other things company’s history, objective, policies & procedures rules and regulation, basic functioning of business verticals and departments, organization structure of the Company, various growth opportunities, discussion about making the Company, a better place to work, and establish a cordial atmosphere in the Company for the new employee.
  • After the induction, trainer shall share the link with the participants for the induction training feedback.
  • Training lead will send the report on the feedback along with participants covered during the month to Chief Human Resource Officer (CHRO) on or before the 5th of every month for the preceding month.
  • CHRO will review the feedback report and submit the plan to the management of the Company and advice, give feedback to the training lead accordingly for the future.

Review and Revision

The Management of the Company reserves the right to amend, abrogate, modify, rescind/ reinstate the entire Induction Policy or any part of it, as the case maybe at any time and this current Policy shall only be applicable till next notified changes are presented.
